This role provides administrative support to respective departments at perioperative service division.
MAJOR DUTIES ANDRESPONSIBILITIES
· SPECIFIC
1. Provides administrative support to Ops/ Nurse Administrators and respective Ops/ NursingManagers/ Nurse Clinicians/ Senior Executive at perioperative services.
2. Oversees the end-to-end consignment workflow process, from daily form collection and invoice processing to procurement coordination and documentation management, ensuring seamless integration across all workflow stages.
3. Ensures accurate bill flow from EPIC Optime/ Lumens toSAP healthcare management systems. Manages and rectifies issues by engaging operating team/ relevant stakeholders.
4. Ensures that consumables and implants used for surgical cases are scanned out and billed accordingly. Help to create new consumables barcodes, maintain, and update the barcode file as needed. Assist to resolve barcode system issues with project engineer.
5. Coordinates with respective workgroups in processing requests and requirements needed such as Finance, IT-related and facilities management issues.
6. Generates required monthly reports from EPIC Optime/ Lumens to be submitted to Office of Clinical Governance, Quality & Risk Management, MOH Health TechnologyAssessment committee, Operations and Nursing Management as required.
7. Generates data from biometric attendance system for training records and weekly attendance records.
8. Maintains the IT inventory for the respective Peri-Operative Department.
9. Arranges for departmental meetings, venue booking and minutes recording, etc.
10. Cross cover of duties during annual or sick leave across perioperative departments.
11. Any other duties as assigned by the Ops/ Nursing Administrator.
· Project Management Support
1. Support clusteror departmental projects as assigned such as: NGEMR sustenance:
o Attends meetings, UAT and training sessions as assigned.
o Supports the requirements of NGEMR change requests for submission such as enhancement of information for Preference Cards, lists of equipment and consumables, implants and relevantdata required in Optime/ Lumens.
o Examines impact of NGEMR on current work processes at perioperative areas.
o Assists in newwork process proposals and implementation.
o Coordinates training of all perioperative staff for NGEMR operation.
2. Support and participate in organisation operational and quality improvement activities and innovations.
3. Participate and support hospital activities as required.
JOB REQUIREMENTS
(A) EDUCATION, TRAINING AND EXPERIENCE
- Minimum diploma education, working experience in hospital/ community work preferred. Must be proficient in spoken and written English, and fluent in Mandarin or Malay preferred. Proficiency in MS Office with basic statistical knowledge.

Microsoft skills competencies required include minutes recording in perioperative services, service delivery, inter-personal skills, effective communication, basic infection prevention and control, change management, continuous improvement and innovation, legal and ethical healthcare practice, workplace safety and health, teamwork, problem solving and lifelong learning skills.
