Job Responsibilities:
Operational Delivery
- Support the planning and execution of events and experiential projects, ensuring all deliverables are completed according to client briefs, event timelines, and approved budgets.
- Follow established event operations processes, compliance requirements, and venue guidelines, maintaining accurate documentation and smooth coordination across stakeholders.
- Assist in developing and maintaining event production schedules, run sheets, trackers, and status reports, proactively identifying delays, operational issues, or onsite risks.
- Coordinate with event suppliers, vendors, venues, and production partners to ensure timely delivery, setup readiness, and adherence to agreed quality and service standards.
- Track event expenses, manage vendor quotations and invoices, and maintain accurate budget and financial records in line with approved project costs.
- Facilitate event programmes, rehearsals, onsite registrations, crew briefings, and live event operations to ensure smooth execution on event day.
Creative
- Assist in the coordination and execution of creative concepts across multiple touchpoints, ensuring deliverables align with the approved brief.
- Liaise with internal teams and external partners to ensure creative materials are produced accurately and delivered on time.
Client Relationships
- Daily point of contact for clients on projects
- Provide regular updates on scope, timelines, and budget status, escalating issues when needed.
- Support client discussions by preparing materials, tracking action items, and ensuring follow through.
- Maintain clear documentation of roles, deliverables, scope changes, and milestone tracking.
Finance
- Assist in sourcing and compiling vendor quotations for review.
- Coordinate with finance and vendors to facilitate timely payment processing and documentation.
Job Requirements:
- Degree / Diploma in a related field such as events management
- Minimum 2 - 3 years agency experience in event management
- Excellent verbal and written communication skills
- Creative thinker and problem solver
- Ability to multitask, troubleshoot and have strong stakeholder management skills
- Experienced in client relations and management
- Excellent attention to detail
- Working knowledge of financial management to ensure deliverables and required financial outcomes are met
- A good understanding of event production processes
- Ability to maintain effective supplier relations and knowledge
- Ability to develop event programmes, cue sheets, show flows, and scripts where required
- Ability to demonstrate confidence in presenting and speaking in front of live audiences when required.
